The online AUC check portal has played a crucial role in addressing legal and compliance issues by streamlining process and enhancing accuracy. The solution developed will also allow us to further digitalise the AUC landscape moving away from outdated processes to an online consistent, and more importantly, compliant platform.

BMW Group retailers carry out a comprehensive 126 point audits across their Approved Used stock and need to record each successful completion of physical checks on their vehicles. The vulnerability of paper or digital files stored locally without a unified system posed a significant risk of loss, especially when managing operations across 260 retailers nationwide. Recognising the annual completion of thousands of Approved Used Vehicle forms, a solution was required that enabled quick access to these forms during customer engagements and for auditing purposes. The solution would not only need to mitigate the risk of lost data but also streamline the process, understanding how digital devices would fit into the day to day workflows of BMW Group mechanics and their environmental factors. We also needed to appreciate how checks would be carried out in a logical order, understanding user pain points and areas of friction in the user interface whilst providing a unified secure platform for monitoring and accessing forms efficiently across all retailers.

We also needed to appreciate how checks would be carried out in a logical order, understanding user pain points and areas of friction in the user interface whilst providing a unified secure platform for monitoring and accessing forms efficiently across all retailers.

Idea

This web application was designed with a user-friendly interface, enabling users to conveniently fill in forms on their preferred devices while ensuring no checks were overlooked. Whether in the draft, signed, or completed status, retailer technicians can easily revisit and manage forms on the go. By centralising all forms in one accessible location, we enhanced auditing and management efficiency. We also introduced an advanced filtering system to allow retailers to view forms within their respective groups, promoting a more streamlined and collaborative approach.

Impact

In the last 6 months the AUC Service Centre Check Forms have recorded:

  • 500 users on a daily basis
  • Over 17,500 successful submitted forms
